BOOKKEEPER I

Full-Time | Estimated Start: Immediate | Boothbay Office

Knickerbocker Group is seeking an organized and detail oriented individual with exceptional communication skills and the ability to multi-task in a fast-paced environment to support our accounting staff by efficiently and accurately processing vendor bills, preparing client invoices, and maintaining related files.

Requirements

  • Excellent computer skills – proficiency in Microsoft Office Suites, including Outlook, Word and Excel;
  • Proficiency in handling internet-sourced data;
  • Persistence…not everyone will have the same sense of urgency you will need!;
  • Strong attention to detail…each bill may be unique;
  • Good memory…know when to treat something ‘the same as last time’;
  • Excellent verbal and written communication skills;
  • Strong organizational and time management skills;
  • Able to maintain strict confidentiality regarding company and client information.

Responsibilities

  • Download, organize, scan and enter vendor bills into Paperless software;
  • Work with Project Managers to assign costs and approve payments;
  • Control workflow to support timely check runs;
  • Coordinate vendor-bill processing to expedite client invoicing;
  • Assist with compilation of client invoices
  • Maintain vendor and client files; update historical records as needed;
  • Assist Project Managers with cost reporting as needed;
  • Keep files organized and current.

Qualifications

  • 0-2 years prior bookkeeping experience;
  • High school or college related coursework helpful;
  • Exposure to construction accounting a plus.

REVIT/AUTOCAD TECHNICIAN

Knickerbocker Group is seeking a creative and passionate individual to join our team in our Boothbay office as a full-time Revit/Autocad Technician.

Job responsibilities include:

  • Assisting project architects & lead designers on architectural projects to ensure that construction is in accordance with design specifications
  • Translating sketch ideas into CADD
  • Preparing technical, detailed architectural drawings for construction projects based on building specifications, calculations and sketches
  • Visiting construction sites to collect measurements and dimensions as needed
  • Producing and presenting materials and CADD documents
  • Converting hand drawn markups (redlines) into CADD

TECHNICAL OPERATIONS SPECIALIST

Knickerbocker Group is seeking an individual with broad technical knowledge and experience, exceptional problem solving, time management and customer service skills and the ability to multi-task in a fast-paced environment to provide IT and technical operations management and support across the organization.

Requirements:

  • Five to ten years of hands-on IT support experience
  • Specific experience supporting construction accounting, architectural software, VOIP communications systems, and general office systems
  • Excellent verbal and written communication skills
  • Strong organizational and time management skills
  • Able to prioritize & multi-task in an ever-changing environment with an upbeat attitude

Information Technology Responsibilities

  • Directs the company’s overall IT and VOIP phone system functions, including selection and management of outside technical assistance, as required.
  • Develops and evaluates tactical plans for IT and phone systems that support the firm’s strategic objectives.
  • Consults with Practice Leaders to determine requirements and priorities for hardware, software and collaboration needs.
  • Provides recommendations and manages the acquisition and upgrade of all hardware, software, and service purchases and/or leases to include copiers, plotters, telephones and security systems.
  • Performs or delegates regular backup operations and implements appropriate processes for data protection, disaster recovery, and failover procedures.
  • Leads desktop and helpdesk support efforts, making sure all desktop applications, workstations, and related equipment problems are resolved in a timely manner with limited disruptions.
  • Troubleshoots hardware and software errors by running diagnostics, documenting problems and resolutions, prioritizing problems, and assessing impact of issues.
  • Upgrades systems with new releases and trains staff on new technologies.
  • Builds and maintains an internal wiki with technical documentation, manuals and IT policies.
  • Provides select clients with IT assessment, troubleshooting, vendor coordination, and implementation of home technology systems.
  • Acts as internal consultant to our specifiers of new home technologies.
  • Maintains and optimizes network connectivity and speed within and between facilities.

Technical Operations Responsibilities

  • Manages aspects of operations, facilities and capital projects at both the Boothbay and Portland, Maine office locations, including interface with public utilities.
  • Collaborates with CEO/Directors on space planning, leases and future capital projects.
  • Implements and maintains the company’s cell phone and VOIP phone system contracts and equipment.
  • Develops measurement tools, monitors results and take actions as necessary to minimize the costs of operations.
  • Establishes security procedures for company buildings to ensure the safety and protection of people, products, and equipment.
  • Manages the upkeep of equipment and supplies to meet health and safety standards
  • Maintains insurance/warranty plans and service contracts
  • Reviews utilities consumption and strive to minimize costs
  • Plans and coordinates all installations (telecommunications, heat, electricity etc.) and refurbishments
